
As the Live Like Lou Foundation expands its reach, we are adding a full-time staff member to serve in a dual capacity: coordinating the Foundation’s data and advancement services and providing high-level executive and administrative support to the Executive Director and staff team. This is a full-time, remote position.
Reporting to the Live Like Lou Foundation Executive Director, the Operations Coordinator/Executive Assistant will manage donation processing and generate donor acknowledgments, ensuring the ongoing integrity and accuracy of our data and constituents (donors, friends, ALS families, researchers, volunteers, etc.), and provide comprehensive executive and administrative support that keeps operations running smoothly. The ideal candidate will be an excellent problem solver who excels at communication, organization, and planning, with experience in nonprofit work and an understanding of nonprofit fundraising.
Serve as the point person for Live Like Lou’s donor database, Bloomerang, including:
◦ Data entry (updating contact information; creating constituent records)
◦ Importing credit card transactions
◦ Processing third-party donation portals for matching gifts and employee giving programs
◦ Assisting with reporting (monthly transactions, appeal performance, stewardship tracking, etc.)
◦ Managing honor/memorial gift notifications
◦ Developing and maintaining procedures and processes related to data integrity and maximizing tools within the database
• In collaboration with staff based at Live Like Lou’s headquarters, ensure donations received by mail are acknowledged and tracked appropriately.
• Coordinate an organized intake/notification process for sympathy communications.
• Manage the Executive Director’s calendar, including scheduling and confirming appointments, and ensuring all necessary documents are available for meetings.
• Ensure timely and appropriate responses to staff, trustee, and community requests on behalf of the Executive Director.
• Oversee special projects, anticipate next steps, and take initiative, exercising discretion and sound judgment while being sensitive to deadlines.
• Manage the Executive Director’s monthly expense reports and submit for reimbursement as requested; support budget tracking and documentation.
• Assist with board and committee support, including creating agendas, gathering and disseminating meeting materials, preparing presentations, and maintaining meeting minutes and related correspondence.
• Provide general administrative support for Live Like Lou staff and trustees as needed.
• Minimum of an associate’s degree preferred, but not required.
• Fundraising database/CRM experience required. Bloomerang experience is highly preferred; candidates with 3+ years of experience in a different CRM will be considered. (The Live Like Lou Foundation operates in Bloomerang with occasional needs to access and/or export data from our philanthropic partner’s system in Salesforce.)
• Prior experience as an executive assistant, administrative assistant, or in a related role supporting senior leadership is strongly preferred.
• Strong organizational skills and the ability to manage multiple priorities/activities in an independent and unstructured work setting.
• Attention to detail and a high level of accuracy.
• Ability to maintain confidential information with discretion.
• Excellent interpersonal skills, including the ability to work with a diverse group of people.
• Excellent written and oral communication skills.
• Proven ability to successfully work remotely and independently.
• Proficient computer skills: Microsoft Office suite (required); preferred experience in: Typeform, Zapier, Reviewr (or similar tools).

• Salary offers will be determined by the candidate’s creditable years of experience, along with internal equity considerations informed by the organization’s current compensation practices and market research for similar positions.

The Live Like Lou Foundation is a national nonprofit organization whose mission is to create and connect communities to uniquely support families affected by Lou Gehrig’s disease and stimulate ALS research. The Live Like Lou Foundation was established in 2017-18 after experiencing success with its grassroots efforts in western Pennsylvania to honor its namesake, Lou Gehrig, and advance research and support of those impacted by Lou Gehrig’s disease (ALS). Founded by Neil and Suzanne Alexander, Neil—like Lou Gehrig—was a member of Phi Delta Theta Fraternity and both men courageously lived with ALS.
